Mind My Travel with Deena (“we”, “us”, “our”) operates mindmytravel.ca. As a private business in Saskatchewan, we are governed by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and we follow its ten fair information principles. This policy covers information collected through this website and through the inquiries, consultations and bookings that start here.

1Who is responsible for your information

Deena Schlosser is our Privacy Officer and is accountable for how we handle personal information, including information we pass to the service providers and travel suppliers described below. When we share information with them, we choose providers that protect it to a comparable standard and use it only for the service they provide to us.

You can reach Deena with any privacy question, request or concern using the contact details in section 14.

2Information you give us

We only collect what we need for the purposes in section 4, and only what you choose to send us:

  • Start Planning form. Your first and last name, email address, your phone number if you give it, and anything you choose to tell us about your travel plans. Submissions are received through Google Forms.
  • Consultation booking. When you book a consultation through the calendar on this website, you enter your name, email address and any details you add. The booking is handled by Nylas and added to Deena’s calendar.
  • Newsletter. If you join our newsletter, you sign up on a page run by Flodesk with your email address.
  • Travel insurance inquiries. If you ask about travel insurance, you may tell us about your health, including pre-existing medical conditions, so we can help you understand your options. We treat health information as sensitive (see section 5).
  • Email, phone or social media. Whatever you include when you contact us directly.

You do not have to give us any of this. If you don’t, we may not be able to reply to your inquiry, book a consultation, plan your trip or send you our newsletter.

If you go on to book travel with us, we will ask you directly for what each booking needs, such as the full names, dates of birth, passport details, contact details and special requests of everyone travelling. We collect this only to make and manage your bookings.

3Information collected automatically

When you visit this website, our hosting provider and Google Analytics record standard technical information:

  • IP address
  • Browser type and version
  • Device and operating system
  • Pages you viewed and how long you stayed
  • The website or search that referred you
  • Date and time of your visit

Some parts of the page load from other services, which receive your IP address and browser details as a normal part of loading: the booking calendar (Nylas, with its software delivered by jsDelivr) and the list of group trips (Google Sheets). The podcast video loads from YouTube only when you press play.

We use this information to keep the site running and secure and to understand how it is used. We do not use it to identify you.

4Why we collect it

We use your information to:

  • Reply to your questions and plan the trip you asked about
  • Arrange and hold your consultation
  • Make, manage and support your travel bookings
  • Help Saskatchewan residents explore travel insurance options
  • Send the newsletter you signed up for
  • See which pages are useful and improve the website
  • Keep the website secure and working properly
  • Meet our legal, tax and accounting obligations

We will not use or disclose your information for any other purpose without first asking for your consent, unless the law requires or permits it.

5Your consent

We collect, use and share your information only with your consent, except where the law allows otherwise.

  • Express consent. We ask for your clear permission before we collect or use sensitive information, such as health details for travel insurance, and before we share any of your information with an insurer. You join our newsletter only by signing up yourself.
  • Implied consent. When you send us an inquiry or book a consultation, we take it that you agree to us using your details to respond, since that is the reason you contacted us.

You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us or, for the newsletter, using the unsubscribe link in any email. We will explain what withdrawing means for you; for example, we may no longer be able to work on a booking that is in progress.

6Cookies and analytics

We use Google Analytics to measure website traffic. It sets cookies in your browser and collects the usage information described in section 3. You can block or delete cookies in your browser settings, or stop Google Analytics from collecting data about you with Google’s opt-out browser add-on. The rest of the website works without these cookies.

The podcast video plays from youtube-nocookie.com, YouTube’s privacy-enhanced mode, and nothing loads from YouTube until you press play. The newsletter sign-up page run by Flodesk may set its own cookies when you open it.

7Who we share it with

We do not sell, rent or trade your personal information. We share it only as described here, and only as much as is needed:

  • Service providers that run this website and our communications, listed in the table below. Each handles data under its own privacy policy and only to provide its service to us.
  • Travel suppliers and our host agency. When you book travel, we share the details each booking needs with the suppliers involved in your trip, such as airlines, cruise lines, hotels, resorts and tour operators, and with Trevello Travel Group, the agency Deena works through, which processes the bookings.
  • Travel insurers. If you choose to apply for coverage, we share your application details with Manulife or Allianz Global Assistance, with your express consent.
  • When the law requires it. For example, in response to a court order, or where airlines and other suppliers must pass passenger information to border and government authorities.

Some of these providers and suppliers store and process information outside Canada, including in the United States and in the countries you travel to. While your information is in another country, it is subject to that country’s laws and may be accessed by its courts, law enforcement and national security authorities.

8How long we keep it

We keep personal information only as long as we need it for the purposes in section 4, or as long as the law requires:

  • Inquiries and consultations. As long as we are in touch about your travel plans, and for a reasonable time afterwards in case you come back to us.
  • Client and booking records. As long as we need them to support your trip and to meet our legal, tax and accounting obligations.
  • Newsletter list. Until you unsubscribe.
  • Website analytics. For a limited period set in our Google Analytics account, after which Google deletes it.

If we have used your information to make a decision about you, we keep it long enough for you to request access to it. When we no longer need information, we securely delete or destroy it. You can also ask us to delete your information sooner (see section 11).

9Keeping it accurate

We rely on you to give us accurate, complete information, and we keep it as up to date as its purpose requires. Correct names, dates of birth and passport details matter for travel, so please tell us as soon as anything changes. We will correct information that is wrong and, where it matters, pass the correction on to anyone we shared it with.

10How we protect it

We protect personal information with safeguards suited to how sensitive it is. This website is served over an encrypted (HTTPS) connection; our accounts are password-protected; we use established service providers with their own security controls; and only the people who need your information to plan and book your travel can see it.

No method of transmitting or storing data online is completely secure. If a breach of our safeguards involving your information creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as possible, as PIPEDA requires. We keep a record of every breach.

11Your rights

You have the right to:

  • Ask whether we hold personal information about you, see it, and learn how it has been used and who it has been shared with
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information, unless we are required by law to keep it
  • Withdraw your consent, as described in section 5
  • Unsubscribe from our newsletter, using the link at the bottom of every email we send

To make a request, contact Deena using the details in section 14. We may need to confirm your identity first. We will respond within 30 days at no cost to you. If we need more time, we will tell you within those 30 days, why, and when to expect our reply. If we cannot give you access to some information, for example because it includes someone else’s personal information, we will explain why in writing and tell you how you can challenge our decision.

12Children’s privacy

This website is intended for adults planning travel. We do not knowingly collect personal information from children through this website. When a family books travel, we collect children’s details from their parent or guardian, only as needed for the booking. If you believe a child has sent us their information, contact us and we will delete it.

13Links to other websites

Our website links to other sites, including travel partners, insurers, podcasts, Facebook, Instagram and LinkedIn. Links to Sandals and Beaches, and the Manulife and Allianz quote links, include a code that identifies Deena as your advisor. We are not responsible for the content or privacy practices of other sites. Please read their privacy policies before giving them your information.
